Position:  Database Administrator

Region:  London and Middlesex, Elgin

Description:  The Database Administrator will accurately and efficiently manage constituent records to support United Way Elgin-Middlesex’s development strategies related to donor acquisition, prospect research, direct mail, email penetration and gift acknowledgment. The Database Administrator also maintains the integrity of data, trains staff on database modules and interfaces, and executes data strategies and work plans.


  • Run queries, build data mining operations and write analytical reports for the purpose of donor engagement and moves management
  • Provide reports, guidelines, and performance monitoring for the important elements of data integrity in the database
  • Maintain a set of daily, weekly, monthly and annual metrics that define and track data integrity in support of development activities
  • Lead the development and implementation of procedures to ensure best practices in data entry, reporting, and database integrity
  • Maintain systems by performing regular technical and tactical functions, such as importing and exporting data into the database, running rebuilds and troubleshooting
  • Train new and existing staff on functionality, data standards and reporting
  • Collaborate with team members to troubleshoot data concerns and reconcile data with financial reports
  • Maintain the online giving module of the database, including the setup and management of specific workplace and national campaigns
  • Regularly assess the quality of existing data, staff and volunteer use of the database and identify areas for improvement and/or clean up


  • Post-secondary credentials in database administration, information management, data management, or similar program
  • Minimum one year of relevant experience working with complex data systems related to customer service, sales or fundraising. Non-profit sector preferred, but not required
  • Knowledge and experience working with major relational database applications and CRM platforms, including queries, importing/exporting, custom reports, mail merging, data storage and security strategies
  • Excellent analytical, problem solving, and organizational skills. Ability to present complex information and recommendations in simple, synthesized summaries
  • Self-directed and self-motivated with the ability to work well under stress, meet tight deadlines, and adapt easily to change
  • Strong interpersonal, relationship-building, and collaboration skills; able to communicate professionally and effectively with all levels of the organization and the public
  • Exceptional project management and time management skills
  • Ability to flex work schedule to attend meetings and special events some of which occur before or after regular office hours
  • Must be in possession of a valid Ontario driver’s license and access to a vehicle

Salary:  To be determined

Terms of Employment:  Contract (3 years)
